It also explains your rights and choices with respect to your personal data.

Please read this Privacy Policy together with our Terms of Use, our Cookie Policy, and, where applicable, our Data Processing Agreement (DPA).

1. Scope of This Privacy Policy

This Privacy Policy applies to:

  • The public website at quillific.com (marketing pages, help pages, legal pages, etc.); and
  • The Quillific app (the logged-in writing environment where you use our tools).

This Privacy Policy does not apply to third-party websites, services, or applications that we do not control, even if they are linked from our Services.

2. Personal Data We Collect

The personal data we collect depends on how you interact with Quillific and which features you use.

2.1 Information You Provide Directly

  • Account information – such as your name, email address, password, and any other information you provide when registering or updating your account.
  • Content you create or upload – including the text you write, edit, upload, or paste into Quillific, and any instructions, prompts, or comments you provide to our tools.
  • Billing and subscription information – if you subscribe to a paid plan, we may collect billing-related information (for example, subscription type and status). Payment card details are processed by our payment processor and are not stored by us.
  • Customer support communications – including the content of your messages, support requests, and related details when you contact us.
  • Feedback and survey responses – if you choose to respond to surveys or provide product feedback.

2.2 Information We Collect Automatically

When you use our Services, we may automatically collect certain information, depending on your settings and consent.

  • Log and usage data – such as IP address, browser type and version, device information, operating system, approximate location (derived from IP), timestamps, pages viewed, features used, and error logs.
  • Session and security data – information used to maintain a secure session, detect abuse, and prevent unauthorized access.
  • Analytics data (website only) – on our public website, we may use privacy-friendly analytics tools to understand how visitors use the site (for example, page views and navigation patterns). These analytics cookies and similar technologies are only used with your consent where required by law. They are not used for behavioral marketing or profiling.

2.3 Cookies and Similar Technologies

On the public Quillific website, we use essential cookies and may use optional analytics cookies with your consent. These help us operate the site, secure the Services, and understand how visitors use our pages.

Inside the logged-in Quillific app, we do not use marketing, advertising, or behavioral tracking cookies. The app relies only on strictly necessary technologies (such as authentication and security mechanisms) and, where applicable, local browser storage for your editor preferences or interface settings.

For more detail on our use of cookies and similar technologies, please see our Cookie Policy.

2.4 No Special Categories of Data Required

We do not require you to provide special categories of personal data (such as health data, political opinions, or religious beliefs) to use Quillific. If you choose to include such information in your content, you are responsible for ensuring that doing so complies with applicable laws and any relevant organizational policies.

3. How We Use Personal Data

We use the personal data we collect for the following purposes:

  • To provide and maintain the Services – including creating and managing your account, enabling you to use the Quillific app, and operating our website.
  • To deliver writing and AI-assisted features – including drafting, paraphrasing, summarizing, translating, and other tools you choose to use. This involves processing your content and instructions in order to generate results.
  • To personalize your experience – such as remembering your preferences, settings, or recently used features (for example, editor configuration).
  • To provide customer support – including responding to your questions, investigating issues, and resolving technical problems.
  • To improve and develop the Services – such as analyzing aggregated or de-identified usage data to understand how our tools are used, improve performance, and develop new features.
  • To communicate with you – including service-related emails (for example, account notices, security alerts, and important changes), and, where permitted, optional product updates or newsletters.
  • To maintain security and prevent misuse – including monitoring for fraud, abuse, or suspicious activity, and enforcing our Terms of Use.
  • To comply with legal obligations – such as record-keeping, responding to lawful requests from authorities, and complying with applicable laws.

4. Legal Bases for Processing (EEA, UK, and Similar Jurisdictions)

If you are in the European Economic Area (EEA), the United Kingdom, or another jurisdiction that requires a legal basis for processing, we rely on the following legal bases:

  • Performance of a contract – when processing is necessary to provide the Services to you, including operating the Quillific app and handling your account.
  • Legitimate interests – for example, to secure the Services, prevent misuse, improve the Platform, and perform limited analytics on a privacy-friendly basis, where these interests are not overridden by your rights and freedoms.
  • Consent – for specific activities such as the use of non-essential cookies or certain types of analytics on our website, where required by law. You can withdraw your consent at any time through the mechanisms provided (for example, cookie settings in the banner).
  • Legal obligations – when we are required to process data to comply with laws or regulatory requirements.

5. How We Use AI and Third-Party Service Providers

Quillific may use third-party service providers to help deliver certain features, including AI-assisted writing functions, hosting, storage, email delivery, customer support tools, analytics (on the website), and security services.

When we use AI-related services, your content and prompts may be sent securely to those providers solely for the purpose of generating results or operating the relevant feature. We do not authorize these providers to use your personal data to create advertising profiles about you.

We do not sell your personal data. We do not use your content from Quillific to build marketing profiles for third-party advertising.

If you are an institutional customer (for example, a library, school, or university), additional terms regarding processing may be set out in a separate Data Processing Agreement (DPA).

6. How We Share Personal Data

We may share personal data with:

  • Service providers – such as hosting companies, analytics providers (for the website), email service providers, payment processors, support tools, and AI technology providers, who process data on our behalf and under our instructions.
  • Institutional customers – if you access Quillific through a library, school, university, or other organization, we may share limited information with that institution to manage access, usage, or billing, consistent with our agreement with them.
  • Professional advisors – such as lawyers, accountants, or auditors, where necessary to protect our legitimate interests.
  • Authorities and legal entities – if required by law or to protect our rights, privacy, safety, or property, or that of our users or the public.
  • Business transfers – in connection with a merger, acquisition, reorganization, or sale of assets, where personal data may be transferred as part of the transaction. We will continue to protect your data and notify you where required by law.

We do not sell your personal data.

7. International Data Transfers

Quillific is operated from the United States, and your personal data may be transferred to, stored, and processed in countries that may have different data protection laws than your country of residence.

Where required by law, we take appropriate safeguards to protect personal data when it is transferred internationally, such as relying on standard contractual clauses or other lawful mechanisms.

8. Data Retention

We retain personal data for as long as necessary to:

  • Provide the Services and maintain your account;
  • Comply with legal obligations;
  • Resolve disputes and enforce our agreements;
  • Support legitimate business needs (for example, security and audit logs), within reasonable time limits.

We may retain de-identified or aggregated information that does not identify you, for example to improve and analyze the performance of our Services.

9. Your Rights and Choices

Depending on your location, you may have certain rights regarding your personal data.

9.1 Rights Under GDPR and Similar Laws

If you are in the EEA, UK, Switzerland, or a jurisdiction with similar rights, you may have the right to:

  • Access your personal data;
  • Request correction of inaccurate or incomplete data;
  • Request deletion of your personal data in certain circumstances;
  • Object to or request restriction of processing in certain circumstances;
  • Request data portability for data you provided to us, where technically feasible;
  • Withdraw consent where processing is based on your consent (for example, analytics cookies);
  • Lodge a complaint with a data protection authority if you believe your rights have been violated.

To exercise these rights, please contact us at support@pronunciator.com. We may need to verify your identity before responding to your request.

9.2 Rights for Residents of California and Similar Jurisdictions

If you are a resident of California or a jurisdiction with similar laws, you may have specific rights regarding access to and deletion of your personal information, as well as the right to know whether your data is sold or shared. We do not sell your personal data.

You may contact us using the details at the end of this policy to exercise your rights under applicable law.

9.3 Your Choices About Communications

You may unsubscribe from optional product update or newsletter emails by using the unsubscribe link in the email or by contacting us. We may still send you essential service-related communications, such as security notices or important updates to the Services.

10. Security

We use reasonable technical and organizational measures designed to protect personal data against unauthorized access, loss, misuse, or disclosure. However, no system can be guaranteed to be completely secure, and we cannot promise absolute security.

You are responsible for keeping your account credentials confidential and for choosing a strong password. If you believe your account or data has been compromised, please contact us immediately.

11. Children’s Privacy

Quillific is not intended for children under the age of 16, and we do not knowingly collect personal data from children under 16 without appropriate consent where required by law. If you believe that a child has provided us with personal data in violation of this policy, please contact us so we can delete it.

12. Cookies and Tracking Technologies

On the public Quillific website, we use strictly necessary cookies to operate the site and may use optional analytics cookies with your consent. Inside the logged-in Quillific app, we do not use marketing or behavioral tracking cookies. Any use of cookies and similar technologies is described in more detail in our Cookie Policy.
